Applicant Privacy Notice
This describes, in plain terms, what happens to information you submit through this careers portal. Retention periods below reflect our current configuration and may be updated after legal review.
What we collect. When you apply, we collect the information you submit (name, contact details, work history, cover letter, answers to role questions) and any resume or supporting files you upload.
Why we collect it. Solely to evaluate your application and communicate with you about it.
How your materials are used. Your resume and application materials are used for recruitment and hiring purposes only.
Service providers. Authorized service providers may process your information on our behalf, including Google Cloud (secure storage), our email provider, and our calendar provider for interview scheduling.
AI-assisted review. Assistive AI may help human reviewers organize and summarize job-related qualifications in your application. AI does not make final hiring decisions. Every application is reviewed by a person.
Retention. We generally retain application records for a limited period after a hiring decision or after the position closes (see current periods at /admin/settings/data-retention, summarized publicly at /applicant-privacy). Records may be retained longer where required by law or an active legal hold.
Your rights. You may request access to, correction of, or deletion of your application data, or withdraw your application, at any time. Deletion may be delayed where a legal retention obligation or legal hold applies — we'll tell you if that's the case.
Marketing. Any optional marketing consent is separate from your job application and never affects a hiring decision.
Accommodations. If you need an accommodation to apply or interview, contact us — requesting one never affects a hiring decision.

Current retention periods
- Rejected applicants: 13 months after a final decision
- Withdrawn applications: 13 months after withdrawal
- Closed or canceled positions: 13 months after the position closes
- Hired candidates: retained through employment, plus 12 months after separation
- Incomplete or duplicate records: 90 days
Records under an active legal hold are retained until the hold is released, regardless of the periods above.
Legal holds
When a record is placed under legal hold, it is preserved and excluded from all automatic deletion or anonymization until the hold is released by an authorized administrator.
Marketing consent
Any marketing communication you opt into is separate and optional. It has no bearing on your application or any hiring decision.
Accommodations
If you need an accommodation to apply or interview, use our accommodation request form or contact hello@emandmestudio.com. Requesting an accommodation never affects a hiring decision.
Requests and contact
Use our data request form to request access to, correction of, or deletion of your application data, or to withdraw your application. You can also email hello@emandmestudio.com. Legal hold inquiries can be sent to hello@emandmestudio.com.
